    Project Financial Planning

    In addition to actual financial results, if.team can produce a complete financial forecast for a project—expected income, expenses, and profitability—even before it starts. Use “Planning” on the project screen for this purpose.

    What Planning Calculates

    If the project has been completed in sufficient detail, including tasks and their planned hours, the system automatically calculates:

    • projected labor costs based on unused planned hours in tasks and assignee rates;
    • other planned expenses, such as freelancers, contractors, and purchases, based on scheduled payments;
    • planned client payments and their schedule;
    • expected project profitability based on the budget and projected expenses.

    This lets you see the complete financial picture before work begins: how much the project should earn, how much it will cost, and how profitable it will be.

    How to Enable Planning

    In the financial section of the project screen, select “Planning.” Planned values will be added to the actual values. If you only need the current actual state and want to keep the interface simpler, you can disable planning for all projects at once.

    Actual and Planned Metrics

    When planning is enabled, some key metrics are displayed as actual / plan, for example, payroll expenses of UAH 23,204.30 / UAH 29,954.30:

    • “Payments” are payments received from the client;
    • “Payroll Expenses”;
    • “Other Expenses”;
    • “Total Expenses”;
    • “Profitability” is the project’s current profitability as a percentage;
    • “Budget Used” is the ratio of actual expenses to the project budget.

    “Project Value” and “Profit” each appear as a single value without an actual/plan split. Planned financial values are also displayed on the chart as separate dashed lines: “Payments (Plan),” “Payroll Expenses (Plan),” “Other Expenses (Plan),” and “Total Expenses (Plan).”

    Each metric has a ? icon explaining how it is calculated. “Payments” and “Other Expenses” also have a “+” button for quickly adding income or an expense directly from the financial section.

    Budget Burn Chart

    All metrics appear on a budget burn chart that shows how they change from the beginning to the end of the project. A vertical “Today” marker separates actual data from forecast data. Solid lines for actual values appear alongside dashed lines for planned values, making it immediately clear whether the project is staying within budget. Hover over any point on the chart to view a breakdown of all metrics for that date. The “Select Iteration” drop-down at the top of the section lets you view metrics for a specific stage.

    Planning Columns in the Project List

    Planned metrics are also available in “List” view under “Projects.” In “Field Settings,” you can enable “Payments (Plan),” “Payroll Expenses (Plan),” “Other Expenses (Plan),” “Total Expenses (Plan),” “Profitability (Plan),” and “Budget Used (Plan),” depending on which are relevant to you. The project’s task count also shows progress: the percentage of completed tasks out of the total.
